Creating an invoice

  1. Open the matter's Invoices tab and click New invoice.
  2. Mattersimple asks whether to fill the invoice from the matter's time, expenses and flat fees that no invoice bills yet. Click Add logged time and expenses to pick them, or Not now.
  3. Under Bill to, choose the client. Only the matter's clients marked Receives invoices can be picked, and the client needs an email address before you can email the invoice.
  4. Add or adjust Line items (below).
  5. Under Discount and tax, set a discount (a fixed amount or a percentage) and the Tax name and rate. Taxes start from your firm's tax settings and apply only to lines marked Taxable. Click Add a second tax for a second one, such as PST beside GST.
  6. Under Notes and payment terms, edit the notes printed at the bottom. They start from your firm's default notes.
  7. Click Save draft, or Save & submit for approval.

The Live preview shows the invoice as the client will see it while you work.

Line items

Add lines with Add hourly line, Add flat fee line or Add expense line, or bring in logged entries with Add logged time and expenses.

Line Amount
Hourly Hours × rate. Needs Billing staff: the member whose time it is. Picking them fills in their hourly rate, which you can change.
Flat fee A fixed amount, always quantity 1.
Expense Quantity × unit price.

Untick Billable on a line to show it at no cost: the client sees "No charge", and the hours and staff stay on it. Billing staff come from the matter's assigned lawyers and staff; someone already on a line stays there if they leave the team, shown as "(not on the team)".

How totals are worked out

The discount is capped at the subtotal and shared across the lines. Each tax is charged only on taxable lines, after the discount. With two taxes, both are worked out on the same amount (one is never charged on the other). Everything is rounded to the cent.

Editing

Only draft and pending invoices can be edited. To change an approved invoice, send it Back to draft first.
